A preventive maintenance program, started from nothing, in order

Most preventive maintenance programs fail before they produce anything, and they fail in the same way: somebody starts by entering every asset on the site into a system, the entering takes weeks, enthusiasm runs out, and what exists afterwards is a half-populated list nobody trusts. The order below avoids that. It produces something running in a week on a small number of assets, then grows, and each step is useful on its own even if the next one never happens.

Step one: the assets that would hurt, not all of them

List the equipment whose failure would actually stop something or cost real money. For most sites that is a small fraction of what they own, often a dozen items. Starting there produces a working programme in days rather than a data-entry project, and it puts the effort where a failure is expensive rather than spreading it evenly over things that do not matter.

Step two: an interval on each, from somebody who knows

The manufacturer's guidance is the starting point, adjusted for the duty the asset is actually under and by whoever in your organisation knows the equipment. Write down why each interval is what it is, in a sentence. That sentence is what lets a successor change it deliberately instead of inheriting a number nobody can account for.

Steps three and four: the checklist, and the record

Write what a visit consists of, per asset type, and keep it short enough that every item is genuinely done. Then record every completed visit against the asset: who, when, what failed. The record is the part that feels like overhead in month one and is the entire value of the programme in year two, because it is the only thing that can answer whether any of this is working.

How long before a preventive maintenance program shows a result?

Longer than people expect, because you are preventing things that would not have happened yet anyway. What shows up early is a different thing: fewer surprises, and being able to answer questions about equipment without an investigation.

Who should own the programme?

One named person, even at a small site. Programmes owned by everybody go stale because no individual visit is anybody's specific responsibility to notice missing.

Should the programme cover contracted equipment?

Yes, on the same list. The interval is the contractor's visit rather than your labour, and the questions are identical: when is it due, was it done, what did they find.
